Event Operations Coordinator

Location: Dallas, TX (hybrid, some travel)
Compensation: $90,000 – $110,000 per year

We are a small, hands-on team based in Dallas, Texas with an office in Tokyo, Japan, and everyone touches client work from the first month.

About the Role

You will plan and run on-the-ground support for client events such as delegations, trade shows and business meetings.

Our events help overseas companies meet customers, partners and officials in person. You will make sure every detail, from travel to name badges, is handled so clients can focus on the conversations that matter.

Key Responsibilities

  • Coordinate venues, schedules, travel and local vendors
  • Prepare materials and onsite logistics for each event
  • Be the point of contact for clients and guests on the day
  • Report back on outcomes and follow-up actions
  • Build run-of-show documents, agendas and budgets for each event
  • Negotiate with venues, caterers, interpreters and transportation vendors
  • Manage registrations, travel plans and onsite staffing
  • Lead post-event wrap-ups with results and lessons learned
  • Keep clients, candidates and guests informed at every step
  • Maintain accurate records and share regular progress updates with the team

Qualifications

  • Experience in events, travel or operations coordination
  • Calm under pressure and highly organized
  • Willing to travel occasionally
  • Multilingual skills are a plus
  • Degree preferred; equivalent experience considered
  • 2 or more years in event planning, hospitality or travel coordination
  • Ability to travel up to 25 percent of the time
  • U.S. citizens and those authorized to work in the U.S. are encouraged to apply
  • Ability to work in a hybrid environment, with regular travel required

Compensation and Benefits

As a full-time Kaiser International employee you will receive:
