About the Role

You will keep the Tokyo office running smoothly and support the team with administration, scheduling and vendor coordination.

The Tokyo office is the home base for our team in Japan and a welcoming space for visiting clients. You will keep it running so everyone can focus on their work.

Key Responsibilities

  • Manage office supplies, mail and vendor relationships
  • Support scheduling and travel for the team and visitors
  • Maintain files, invoices and basic records
  • Help prepare the office for client meetings and events
  • Greet visitors and prepare meeting rooms and refreshments
  • Order supplies and manage relationships with building and service providers
  • Handle invoices, receipts and simple expense records
  • Support HR tasks such as onboarding paperwork and equipment setup
  • Collaborate across the marketing, setup, recruitment and events teams
  • Capture lessons and feedback so we can improve how we serve clients

Qualifications

  • Administrative or office experience
  • Business-level Japanese; working English
  • Reliable, discreet and detail-oriented
  • Part-time schedule, around 20 to 25 hours per week
  • High school diploma or equivalent; degree preferred
  • 1 or more years in office administration or reception
  • Working knowledge of common office software
  • Candidates authorized to work in Japan are encouraged to apply
  • Ability to work on-site at our Tokyo office

Compensation and Benefits

The full-time equivalent salary range for this role is ¥4,000,000 – ¥5,000,000 per year, prorated to the hours you work. As a part-time Kaiser International team member you will receive competitive hourly pay, paid holidays and paid time off prorated to your hours.
